Accounting Software - Which One Should You Choose? | Upsilon Consulting

In brief: Choosing accounting software in Morocco requires evaluating legal compliance with the PCGE, built-in reporting, bank reconciliation features, and fixed asset management. Top solutions include Sage, KHABIR, Cegid, and EBP, each suited to different business sizes.

Accounting software, the first step to bringing your accounting in-house

Many companies in Morocco choose to outsource their accounting. In that case, we advise you to use the services of a qualified professional. In our article Chartered Accountant in Morocco, we present our selection criteria for making a good choice.

Conversely, some companies choose to bring their accounting in-house. In this case, one or more internal accountants handle the task. In many cases, companies start with an initial outsourced phase. Then, after reaching a critical size, they decide to internalize the function.

Upsilon - Who are we?

In this case, choosing accounting software is one of the first decisions to make. Choosing the right one is important, as you use it every day to track the company’s financial transactions. Moreover, with hundreds of accounting software solutions on the market, it can be difficult to decide which one to choose.

As Salaheddine Yatim, Chartered Accountant and Managing Partner at Upsilon Consulting, member of the OEC, explains: selecting the right accounting software is a strategic decision that impacts your company’s financial health and regulatory compliance.

We present:

  • The main criteria for choosing accounting software
  • The best accounting software solutions;

We looked for accounting systems with innovative features. Here are our top picks and the details of our selection process. Learn more about what to look for in accounting software.

Criteria for Choosing Accounting Software in Morocco

Many aspects of accounting software contribute to making it a useful tool. Whether you are a small business owner or the CFO of a large group, it is important to know which features to look for. Most accounting software offers accounts receivable, accounts payable, banking, and reporting functions. Some include tools such as inventory management, project management, time tracking, and payroll tools.

Here are some of the key features to look for in accounting software.

Cash Flow Management and Bank Reconciliations

This feature connects the software to your bank accounts to receive daily transaction updates. This saves you the time of manually downloading transactions into the system. It also gives you a daily, rather than monthly, overview of your accounts. A real-time bank feed feature can make reconciliation easier, turning it into a small daily task rather than a monthly ordeal.

Smart reconciliation tools identify potential matches between your bank transactions and accounting entries. You can then approve or reject the suggested matches. The best applications suggest potential matches when you reconcile your accounts.

Built-in Reporting - Dashboard

This feature allows you to configure reporting templates within the software. The accounting software must make it easy to summarize information. Each report should contain key indicators. For example:

  • cash flows,
  • profit and loss,
  • account balances,
  • expenses,
  • accounts payable and receivable, and sales.

Some software lets you customize what you see first by rearranging the information.

It is reasonable to assume that every accounting program can generate financial reports. Nevertheless, some are more basic than others. If you need specific types of financial reports, you will want to make sure they are included in your software. At a minimum, generating them should be easy.

Detailed reports can help you better interpret your financial data to make informed business decisions.

Integration of Accounting Software with Other Tools

The ability to connect your accounting software to other programs saves you valuable time, as you no longer have to manually transfer data from one system to another. Payroll, payment processing, and sales are prime examples of necessary integrations for accounting software. Integration with systems you already use also reduces training time for employees who use the software.

Inventory Management

If your business manages stock, you need an application that helps you track your inventory. An ideal accounting software should offer this functionality. At a minimum, it should be able to easily integrate with add-on inventory management modules.

Fixed Asset Management

Ideally, accounting software in Morocco should include integrated fixed asset management. In other words, it should allow you to:

  • Calculate accounting, tax, and exceptional depreciation;
  • Configure multiple accounting standards in Morocco;
  • Facilitate physical asset management;
  • Support component-based asset management.

Matching or Lettering - Account Analysis

Accounting lettering (matching) is an operation that consists of assigning a single reference to two or more accounting entries. This accounting procedure allows, for example, assigning a letter “A” to a customer invoice and its payment. In this way, a logical link is created between the two, enabling subsequent analysis.

For example, when lettering customer accounts, you can identify the composition of the customer balance. This balance is the one that will be claimed during collection follow-ups.

This process is very important. Accounting software must allow this lettering to be performed.

Cost Accounting

Companies’ needs do not stop at producing balanced financial statements.

Cost accounting generally relies on the same data recording system as general accounting. However, it displays financial data in greater detail. As a result, it enables analysis according to the user’s needs. For example: costs by product, results by department, etc.

Therefore, accounting software should anticipate users’ needs and allow analytical data entry. This process begins at the time entries are recorded. The software must then allow efficient data summarization according to needs.

Before choosing accounting software, you should ensure that it handles the analytical component well.

Export Formats

Accounting software must be open to the outside world. Data must be exportable in different formats according to needs. At a minimum, accounting software should allow exports in Excel, PDF, and TXT formats. Furthermore, the software should offer maximum flexibility in configuration fields.

Accounting software must produce statements that comply with the legal requirements of the country in question. Some requirements may arise from accounting or tax law. Accounting serves, in particular, as the basis for tax returns. Therefore, accounting software must meet certain requirements, notably the ability to be audited.

Some software may fail to meet certain requirements of this type. Below we outline some requirements to be met:

  • Compliance with minimum formal requirements: Software compliant with legal requirements should:

    Prohibit deletion of entries

  • Allow chronological recording of entries

  • Guarantee the integrity of the audit trail

  • Respect the basic accounting equation (double-entry)

  • Allow the closing of accounting periods

  • Automatically generate opening balances that respect the principle of intangibility of the opening balance sheet

These objectives, as basic and obvious as they may seem, represent the ABCs of choosing accounting software. From experience, in-house developed software can sometimes fail this test.

  • Accounting extractions: Software used in Morocco should allow the extraction of the following statements:

    Accounting journal entries by period;

  • general ledger;

  • Subsidiary ledgers;

  • Trial balance;

  • Subsidiary trial balance;

  • Inventory valuation statements, where applicable;

  • Fixed asset management: Software must handle depreciation calculations according to the standards in force in Morocco. This includes:

  • Calculating depreciation charges in compliance with local rules (pro-rata, rates, etc.)

  • Extracting tax statements (table 16, fixed asset movement schedule, etc.)

  • Tracking disposals, commissioning, and write-offs

Other Conditions

  • Keeping accounts in local currency (Moroccan dirhams) and efficient management of foreign exchange differences. Foreign exchange management must comply with local standards:

    Recording of translation differences on assets and liabilities

  • Provision for unrealized foreign exchange losses

  • No income statement impact from unrealized foreign exchange gains (except on cash balances)

  • Realized foreign exchange gains and losses must impact the income statement

Compliance with local standards may seem obvious. However, it sometimes poses configuration challenges in multinational software (e.g., SAP, JDE, etc.).

  • You must ensure that the accounting software allows, in particular:

    Identifying the origin, content, and allocation of accounting entries as well as the references of the supporting document;

  • Blocking the upload of unbalanced entries (Debit =/= Credit)

  • Archiving at least 10 fiscal years

  • Clearly separating:

    transactions relating to the fiscal year

  • the carry-forward of balance sheet accounts from the previous year to the beginning of the current year

  • Blocking the upload of entries with empty fields

  • Distinguishing between:

  • Stock withdrawals intended for resale

  • Stock withdrawals intended for internal use

  • … In conclusion, accounting software must be:

  • Compliant with regulatory requirements

  • Flexible and open to add-on modules

  • User-friendly in how it presents and extracts information

It goes without saying that it must also allow the loading of an appropriate chart of accounts. The chart of accounts must certainly correspond to the applicable accounting standards.
